Destination wedding: From catering to accommodation, key costs to factor into your budget

The wedding season can bring a range of expenses for families, from venue bookings and catering to décor, entertainment and accommodation.

For those planning a hotel or destination wedding, the final bill depends on several factors, including the number of guests, functions, wedding dates and services included in the package.

Experts say families should assess the cost of the entire celebration rather than focus only on the venue or per-plate rate.

Here are the key expenses to factor into a wedding budget.

Guest count and catering

The number of guests can significantly affect the overall wedding budget, as it influences catering, seating, staffing and, where applicable, accommodation.

Rachita Sood, General Manager at Novotel Mumbai International Airport, said food and beverages usually account for the largest share of a hotel wedding budget, followed by décor and production, venue costs and guest rooms. Audio-visual arrangements, entertainment and transport can add to the expenditure.

Devinder Sandhu, Senior Director at Forest Hill Resort, near Chandigarh, also identified catering, accommodation and décor among the significant cost components. He said guest count directly affects catering requirements, seating arrangements, service staff and event infrastructure.

Families should therefore finalise a realistic guest list before comparing venues and catering packages.

Number of functions and accommodation

A wedding spread across several days can cost considerably more than a single-day celebration. Mehendi, sangeet, cocktail parties and receptions may each require separate venue arrangements, décor, food and entertainment.

Vinod Pandey, Area Director – Operations and General Manager at Taj Damdama Lake Resort & Spa, Gurugram, said residential weddings involve more than the dining experience, with guest arrivals, accommodation, venue selection, décor and entertainment contributing to the overall celebration.

He said pricing depends on the scope of the event, demand for the chosen dates and the facilities and inventory used, rather than only the per-plate catering cost.

Akash Roy Saigal, General Manager at Karma Lakelands, said whether a wedding is residential or non-residential makes a significant difference to the cost. Room bookings, meals and high tea for residential guests can increase the package value, while families opting for a property buyout may also need to account for the cost of reserving all rooms.

Families should calculate accommodation and meals separately, particularly for destination weddings, and check how many guests will actually need rooms.

Wedding dates, seasonality and location

Peak wedding periods, weekends and auspicious dates generally see stronger demand for venues and rooms, which can influence prices. Location also matters, as properties differ in accessibility, facilities and available event spaces.

Sandhu said off-season celebrations may offer greater flexibility in pricing and arrangements. Sood similarly noted that weekday and off-peak dates can provide hotels with more flexibility, although pricing depends on demand and availability.

Pandey said sought-after weekends and auspicious dates often have limited availability, influencing venue selection and package pricing. He added that families who plan in advance generally have a wider choice of dates, venues and accommodation, but early booking does not necessarily mean lower prices.

Families with flexible dates can request quotations for different days and compare the overall cost before committing to a venue.

Décor, entertainment and additional services

Décor, floral arrangements, lighting, entertainment and event production can add substantially to the bill, particularly when each function has a different theme or setup.

Saigal said menu selection, décor themes and the scale of arrangements across functions influence the final cost. Live food counters, alcohol consumption and additional services can also increase expenditure.

Sandhu said the number of functions and the level of arrangements required are important determinants of the overall bill. At the same time, Sood highlighted audio-visual arrangements, entertainment and transport as expenses that can add up.

Families should ask for itemised quotations and confirm whether décor, lighting, sound equipment and entertainment are included or charged separately. Any additions after the package is finalised should be assessed against the overall budget.

Compare packages and understand the terms

Wedding packages can differ in their inclusions, making it important to compare quotations on the same basis. Families should check venue rentals, food and beverages, room bookings, taxes, additional guest charges, payment schedules and cancellation terms before paying an advance.

Saba Dhanani, Corporate Head, Marketing and Communications at Sayaji Hotels, said hotel wedding costs are influenced by accommodation, food and beverages, venue rentals, décor, entertainment and the number of functions. Guest count, destination and seasonality also play a role in determining the budget.

Pandey said families should have clarity on package inclusions, exclusions and planning requirements. Sood also emphasised the importance of families knowing exactly what they are paying for, given that each wedding has different requirements.

Plan for unexpected expenses

Even with a package in place, additional guests, upgraded menus, extended celebrations or changes to décor can increase the final bill.

Families should maintain a separate contingency amount rather than allocate the entire budget to confirmed bookings. They should also establish an overall spending limit and prioritise essential expenses over optional upgrades.
