With digitisation expanding across property-related services, the focus is shifting toward verification, traceability, and compliance readiness.
Why property-related records are important
Sanjay Mandava, Founder & CEO of Landeed, notes that property-linked payments in India are often spread across municipalities, utilities, housing societies, and service providers. Digitisation is helping reduce this fragmentation.
He explains that beyond convenience, these records contribute to ownership maintenance and financial readiness.
According to him, keeping property tax, electricity, and maintenance records updated helps maintain a documentary trail around a property, which is relevant for compliance as well as financial processes such as home loans and loans against property.
He adds that lenders in some cases ask for documents such as electricity bills, maintenance bills, and property tax receipts as part of property documentation checks.
What to check in digital property payments
Mandava highlights that users should not only check whether a payment has been debited, but also whether:
- The payment is correctly posted to the right property or account
- It is acknowledged by the underlying authority or provider
- Receipts and records are preserved for future verification
He states that these records may later form part of the broader property file used in lending and due diligence, and that errors in identifiers or missing records can create issues during verification.Documentation issues in property transactions
Aman Gupta, Director at RPS Group, says real estate disputes in India are generally not the result of major fraud but often arise from documentation issues.
He notes that problems such as incomplete documents, missing annexures, or absent approvals may appear minor initially but can lead to long legal disputes. He also says these issues can create challenges during resale or inheritance transfers.
Gupta advises that ownership protection begins with ensuring documents are legally reviewed, properly maintained, and verified early through due diligence.
Importance of full legal due diligence
Hardik Shah, Director at Shyam Group–Dholera SIR, states that legal due diligence in real estate is not limited to the main contract.
He explains that it includes records such as approvals, mutations, construction permissions, and utility documentation. He adds that these documents are important for completing transactions and for enabling financial institutions to process loan approvals.
Shah also notes that both buyers and developers should focus on maintaining a proper documentation trail to support transaction completion and market confidence.
Role of supporting documents in transactions
Sandeep Mangla, Managing Director at Forteasia Realty, says that in real estate transactions, smaller documents often become major hurdles.
He points out that buyers and sellers usually focus on sale deeds or agreements, but often overlook documents such as occupancy certificates, property tax receipts, and society NOCs. According to him, these documents are critical, and missing them can lead to delays in registration, loan approvals, or legal issues later.
He adds that lenders and authorities often require complete documentation before processing applications.
